Set up your coaching space, guide your athletes, and follow their progress.
Getting started
- Create your coach account and verify your email.
- Open Settings to add your profile picture, then Coaches Profile to enter your public coaching details.
- In Services, choose My Sports, add the lessons you offer, and save your lesson locations.
- Set your availability so athletes can book.
- Invite athletes or approve their coach connection requests.
- Build a workout plan, review it, and assign it to an athlete.
- Create an Athlete Goal with a clear definition of success.
How-to guides
Set your local time zone
Where: Settings → Your time zone
- Type a city or select a time zone, then save.
- Schedules and online lesson booking times use your selected zone. Each person can use their own zone for the same lesson.
Changing your display zone does not move booked lessons. Existing recurring availability retains its original time zone; recreate a rule if its hours should follow your new zone.
Link to this guideInvoice lessons and track payments
Where: Billing & Invoices
- Open Payment Settings and select the methods you accept. Fill in each selected method’s details, add optional QR codes for Venmo, PayPal or Other, and set payment terms. Assign an existing general QR code to its payment method if needed. Save payment settings.
- Overview lists unpaid lessons from today and earlier. Select Record payment to expand the form directly in Overview, enter the amount and method, and confirm receipt without leaving the list. No invoice is created. Partial payments leave the balance outstanding.
- For players who do not pay at the lesson, select Create invoice for unpaid balance, or open Invoices to combine unpaid lessons for one athlete and coach. Previous partial payments are deducted. Review the draft and issue it.
- The athlete and authorized parent can view the invoice and report that payment was sent. Verify receipt externally, then use Record received payment. Partial payments update the remaining balance.
- Use Overview filters to see paid, partially paid, or invoiced lessons. Payments shows direct lesson payments and invoice payments. Open an invoice to send a reminder or print it using your browser.
Invoices and Lesson History share payment status. A payment report does not mark an invoice paid. Correct a mistaken payment with a reason; void an incorrect invoice after correcting its payments. These actions preserve history and do not refund money. Existing fully paid lessons stay recorded and are excluded from new invoices. An active invoice receives subsequent payments so nothing is counted twice.

Where: Coaches Profile → Public Link & Calendar
- Choose a unique profile name such as pitch-with-chris, then save. Spaces become hyphens. If a name is taken, choose another.
- Copy your link to share it with athletes or on social media. Publish your profile before sharing.
- Turn on Show availability on my public profile if you want visitors to see open lesson times. Save your choice.
Previous profile names redirect to your current link. The calendar shows open times in your displayed coach time zone, not athlete names or booked lesson details. New athletes must connect and be approved before booking.

Where: Coaches Profile
- Enter your introduction, experience, qualifications, specialties, public location, and coaching format. Add up to five video links, one per line.
- Select Save draft before uploading photos. Add a public profile portrait, cover photo, and up to six gallery photos. Each upload saves to the draft.
- Select Preview saved draft to review the page. When ready, select Publish profile to update your public page and appear in Find a Coach.
- Use View and share public profile to copy the page link from your browser. Use Unpublish and hide from search to take it offline.
Draft edits and photos stay private until published. The public portrait is separate from your Settings account picture. Sports, services, ratings, name, and new-athlete availability update from their existing settings independently of the draft.

Where: Services
- Open My Sports, select the sports you coach, and save your choices.
- If a sport is missing, use the create-sport link beneath the sport choices.
- Open Add a Service. Enter the lesson name, sport, duration, and price, then save.
Your selected sports determine which drills and sport options you see.

Where: Settings → Your profile
- Enter your first and last name.
- Add or update your address and phone number, then select Save profile.
Address and phone are optional and are not displayed in public coach search. Your public coaching location is a separate setting.

Where: Settings → Your profile picture
- Choose a new image, or select Edit crop beside your saved picture.
- Use Zoom, Move left or right, and Move up or down to frame the preview. Reset crop returns to the centered view.
- Select Save picture to apply the crop.
The crop replaces the saved picture. To restore parts removed by an earlier crop, upload the original image again.

Where: Coaches Profile → New Athlete Availability
- Find New athlete availability.
- Turn on Accepting new athletes and select Save availability when you have room. Turn it off when you are full.
- In Coaches Profile, complete your introduction and select Publish profile to be listed.
Find a Coach shows Accepting new athletes or Currently full. This setting starts off and does not change existing athletes’ booking access. Search sports come from each listed coach’s My Sports selections.
Link to this guideCreate and choose lesson locations
Where: Services → Locations
- Enter a location name and optional address or meeting details, then select Add location.
- When adding a lesson, choose a saved Lesson location from the dropdown.
- If the form shows the red No lesson locations yet message, follow its Services → Locations link, add a location, then reload the lesson form.
- To change an existing lesson, open View lesson or Lesson History, expand Edit lesson location, choose the location, and select Save location.
Locations are shared by coaches in your workspace. Editing or removing a Services location does not change lessons already saved with it. Athletes can read the location in their lesson details.
Link to this guideFind and manage scheduled lessons
Where: Dashboard → Lessons
- Upcoming shows scheduled lessons, including lessons whose end time has passed.
- Search by athlete, coach, lesson, or sport. Expand Filter lessons for date, athlete, coach, and sport options where available.
- Select View lesson to review details, edit its location, or update its status.
- Use the banner counts for Unpaid lessons, New athlete requests, and Unread messages to open the relevant page. Running Late and Move Lesson are beside those counts.
Lessons stay in Upcoming until marked completed, canceled, or no-show. Other search and date filters still apply. Athlete photos appear beside their names when available.
Link to this guideOrganize tags and equipment
Where: Services
- Open Sports & Tags and choose a sport.
- Add tags such as Pitching, Fielding, or Endurance. Choose Edit on a tag to manage it.
- Open the equipment section, choose the sport, and add the equipment you use.
Tags help find drills. Equipment choices help describe drills and filter auto-built plans.
Link to this guideSchedule a weekly lesson series
Where: Lessons → Add Session
- Choose the athlete, service, first date, time, and location.
- Under Repeat, choose Weekly and the total number of lessons, including the first. Up to 52 lessons can be created.
- Add to Calendar creates all weekly lessons together. If any date conflicts or is closed, no lessons are added; adjust the schedule and try again.
Lessons keep the same local day and time across daylight saving changes. Posted times require availability every week. Custom times may be outside posted hours. Move or cancel individual lessons separately.
Link to this guideSet availability and schedule lessons
Where: Schedule / My Availability
- Open My Availability and set the times athletes can book.
- Use the calendar to review your schedule; use Add Session or Lessons to enter a lesson yourself.
- Choose the athlete, service, available time, and a saved lesson location, then confirm.
A coach cannot be booked for overlapping lessons across services in the same workspace.
Link to this guideConnect with an athlete
Where: Athletes → Requests & Invitations
- Use the athlete invitation option and enter the account email. For a parent-managed account, use the parent’s email.
- The recipient signs in and accepts the invitation in My Coaches.
- For athlete-initiated requests, open Athletes → Requests & Invitations and choose Approve or Decline.
An invitation or request must be accepted before the connection is active. Athletes can register without a coach code.
Link to this guideCreate a drill
Where: Workout Toolkit → Create a drill
- Choose the sport, name the drill, and enter instructions.
- Choose the tracking type. Use Completed when you only need a completion check; otherwise enter the target.
- Select relevant tags and add optional details such as level, equipment, coach cues, or a video link. Save the drill.
Drills are the building blocks for workout plans. A completed-only drill does not need a numeric target.
Link to this guideBuild a plan manually
Where: Workout Toolkit → Build a Plan → Build Manually
- Name the plan and choose its sport.
- Search or select tags to narrow the drill list. Filters update without refreshing the page.
- Check the drills to include, then select Save plan.
- Review the saved plan. Expand its days and drills to set the day number, order, minutes, and targets. Save your changes.
Day 1 is the date chosen when assigning the plan. Saving a plan does not assign it to an athlete.
Link to this guideAuto-build a plan
Where: Workout Toolkit → Build a Plan → Auto Build Plan
- Enter a plan name and choose sport, level, focus tags, and available equipment.
- Choose the plan length, workout days, and time per workout.
- Build the plan, then review the selected drills and targets before assigning.
For auto-built plans, Day 1 represents Monday. A Monday start preserves the chosen weekday pattern.
Link to this guideAssign and reuse a plan
Where: Workout Plans or Saved Plans
- Find the plan and choose Assign or Assign to athlete.
- Select an active athlete in the plan’s sport.
- The start date defaults to today. Open Change start date if needed, then confirm.
Each assignment is an independent copy. Editing the saved plan later does not change workouts already assigned.
Link to this guideManage assigned workouts
Where: Athlete Workouts
- Choose the athlete and open the assigned plan.
- Expand Manage plan to edit, archive, or delete the assignment.
- Expand a day and drill to adjust items without recorded results.
Archive preserves history. Deleting an assigned plan removes its workout results; deleting a saved plan preserves existing athlete assignments.
Link to this guideCreate a lesson report
Where: Lesson History
- Open the lesson. After the lesson ends, mark it completed.
- Use the recap prompt to describe what went well and what to practice next.
- Open Add PDF, image, or video to upload a radar report or lesson image, or add a YouTube recording link.
- Save the recap and resources. You can return to edit the recap or add resources later.
A new or changed athlete-visible recap is added to the athlete’s Messages first, then a formatted email alert is queued with a direct Lesson Journal link. Private-note-only edits do not notify the athlete. Private coach notes are not included, and uploaded files are available only to authorized lesson participants.
Link to this guideCreate a goal and review progress
Where: Athlete Goals
- Choose Create a goal, select the athlete, and name the goal.
- Describe Success looks like. Add a target date or Track a number only if useful.
- Read the athlete’s updates and provide coach feedback.
- Set the status to Achieved when the agreed criteria are met.
Athletes see active goals on their dashboard and can request review. Only a coach confirms achievement.
Link to this guideMessage athletes and groups
Where: Messages
- Choose a private athlete conversation, All athletes, or Create a group.
- For a group, select the athletes and name the group.
- Write your message and send it.
Group members can see the shared conversation and replies. Use a private conversation for individual feedback.
Link to this guideUse your combined schedule
Where: Schedule
- When you have more than one active athlete, open Combined schedule.
- Choose Week, Month, or List. Filter by athlete, service, or lessons only.
- Select an entry to open its lesson or workout. Use Current workspace calendar for the original calendar.
The combined view shows your lessons and assigned workouts. Your dashboard keeps its lesson list.
Link to this guideQuestions & answers
Can I schedule the same lesson every week?
Yes. When adding a lesson, choose the number of weekly lessons under Repeat. The first lesson is included in that total. Each occurrence has its own attendance and payment record. Conflicts block the entire series so a partially created schedule is avoided.
Can I record payment without creating an invoice?
Yes. In Billing & Invoices → Overview, expand Record payment on a lesson from today or earlier. Enter the amount and payment method and save directly in the list. Use an invoice when an unpaid balance needs to be billed.
Where are athlete requests and invitations?
Open Athletes → Requests & Invitations. The dashboard New athlete requests count also links to requests.
Can athletes print their weekly plan?
Yes. Print My Week is below the athlete dashboard banner and in the My Workouts navigation. Athletes can print a weekly overview or a detailed workout checklist with their lessons.
Are draft profile changes visible to athletes?
No. Save draft and Preview saved draft are for you. Publish profile makes the saved text and photos public. Existing published content stays visible until replaced or unpublished.
Does my Settings picture become public automatically?
No. Upload a separate public portrait in Coaches Profile. Only publish images you have permission to share.
Why is an old lesson still in Upcoming?
Upcoming shows lessons with Scheduled status. Mark the lesson completed, canceled, or no-show to remove it from that view.
Why are there no lesson locations to choose?
Create them in Services → Locations. The red notice in the lesson form links there. After adding a location, reload the lesson form.
Will editing a location change existing lessons?
No. Each lesson keeps its saved location. Open the individual lesson and use Edit lesson location to update it.
Why does my profile say Currently full?
Accepting new athletes starts off. Enable it in Coaches Profile → New Athlete Availability and save. Publish your public listing separately in Coaches Profile.
Where do the sports in Find a Coach come from?
The dropdown uses sports selected in My Sports by listed, available coaches. Each result shows that coach’s selected sports.
Can I crop a picture already uploaded?
Yes. Open Settings, choose Edit crop beside your picture, adjust the preview, and select Save picture.
What is the difference between Saved Plans and Athlete Workouts?
Saved Plans are reusable templates. Athlete Workouts are the dated copies assigned to individual athletes, with their own results.
Why can’t I find a drill or sport?
Check Services → My Sports, then clear any drill search, tag, equipment, or sport filters. Only relevant coaching sports are offered.
Why isn’t an athlete available when I assign a plan?
The athlete must be active, accessible to your coaching account, and in the same sport as the plan. Check the connection status and athlete sport.
Can I use the same plan for several athletes?
Yes. Assign the saved plan to each athlete. Each receives a separate copy and progress record.
Can I change a drill after the athlete records a result?
Recorded results lock the related drill adjustments. This protects the history of what the athlete completed.
Can I track something that is not a number?
Yes. Athlete Goals use a written success criterion and progress notes. Numeric tracking and target dates are optional.
Why don’t I see the combined calendar?
It appears when your account has more than one active athlete in the workspace. Otherwise the existing calendar remains.
Does recording a lesson price collect payment?
No. Lesson prices and payment status are tracked in the portal; lesson payments are collected separately by your business.
How do I reset my password?
Use the password-reset option on the login page and follow the email link. Passwords must contain at least 8 characters.
No matching topics. Try a shorter phrase such as “coach,” “lesson,” or “goal.”
